Bank holiday opening hours - 3 May
The University will close for the Bank Holiday on Monday 7 May 2012. The Student Services Centre will re-open at 10am on Wednesday 8 May 2012.
The last post before this closure will leave the Student Services Centre on Friday 4 May and might be caught up in the Bank Holiday mail delays. Please take this into account when applying for any documents.

Statement from Vivien Jones, Pro-Vice-Chancellor (Student Education)
Following discussions with the Pro-Deans for Student Education, it has been decided that the next phase of consultation on various aspects of the proposed new timetabling model should be temporarily put on hold. The decision was taken in light of the process changes which are under discussion as part of the Student Education Service development and the Pro-Deans’ view that the current system works in the main satisfactorily.
It is recognised that improvements would undoubtedly be made once the proposal is reconsidered, and it is expected that a fuller discussion of the proposed new model will take place following the implementation of functional leads and teams in the faculties.

Online enrolment 2012 - 1 Feb
A number of possible developments have been identified to further enhance the online module enrolment (OLE) system, allowing the introduction of some level of restriction for the 2012 online module enrolment exercise.
The data held in the current Programme Catalogue, in terms of total credits per year and range of credits for each subset of optional modules, should be sufficient at this stage to allow us to introduce restrictions on the maximum number of credits students can enrol for.
It is therefore anticipated that from May 2012, when the OLE exercise starts for returning students, the OLE system will prevent students from enrolling on more credits than the amount required by their programme of study, as prescribed in the Programme Catalogue.
This will be in addition to the following existing restrictions:
- Level 1 students can only enrol online for level 1 modules
- Level 3 students can only enrol for level 1 modules when these are flagged as “skills modules” in the module catalogue
Please note that the system will still allow students to:
- Enrol on less credits than required
- Select modules without having the required pre-/co- requisites
- Choose an imbalance amount of credits across semesters
(These 3 “allowances” are however supported by warning messages displayed to students)

Deadline for module and programme changes - 24 Jan
The deadline for approvals to new and amended modules and programmes is 31 March 2012. To ensure there is enough time to action all approvals in the catalogues please ensure all modules and programme proposals are approved at School and Faculty level by this date. The 2012/13 catalogues will be published on the web on Tuesday 1 May.
January examinations - 5 Jan
The January examinations session will start on Monday 9 January 2012. A pdf is available which includes information on the location, opening times, and contact telephone numbers for the exam sub-offices and lists the exam venues which are managed by each sub-office. Please take note of the opening times of each sub-office.
The main exam sub-office and the special circumstances sub-office now have new locations in the Michael Sadler Building.

Revised exam deadlines for 2012 - 10 Oct
The deadlines for the return of marks and classifications to TSA in June 2012 have been revised following a decision by the TSEB to allow more time for marking to take place after the semester 2 examination period. The revised dates are:
- Deadline for schools to submit marksheets to TSA – 5pm, Tuesday 19 June 2012.
All marks to be uploaded into the Banner system and released to TSA; marksheets bearing Internal Examiner signature(s) to be submitted to TSA along with evidence of the External Examiner’s approval, e.g. a signed memo or an email (hard copy with signature can follow). - Deadline for schools to submit classification sheets to TSA – 5pm, Tuesday 26 June 2012.
All awards to be released and in the Banner system (where feasible); award sheets bearing the Internal and External Examiner’s signatures to be submitted to TSA. - Official Results day (TSA to publish Official Results online for students) – 5pm, Friday 29 June 2012.
No mark, grade, pass/fail list to be displayed in Schools/Departments/VLE prior to Official Results day

Timetable consultation - 5 Sep
A new approach to producing the timetable which ensures a high degree of control and autonomy is retained by schools, but moves the timetable to a position where intelligent scheduling decisions are made based on the best quality data available at the time.

Access to Learning Fund Appeals panel - 8 Aug
We are currently seeking an additional member for the Access to Learning Fund appeals panel. Ideally we are looking for an administrator from a school or faculty who has an interest in student support and pastoral care. The new panel member would be expected to read and adhere to the current fund guidance and would receive additional guidance on the
university assessment process and precedents from the Financial Aid Manager who is also a member of the appeals panel.
The appeal panel meet at 9.30–10.30am on
Tuesday mornings to consider appealed cases. However, they don’t meet every week – only

Module event - 5 Aug
The Module Event will this year again be for one day - Wednesday 21st September from 9am-5pm. It is to be held in the Parkinson Building, but this year will use the basement rooms B8, B9 and B10 to allow for more space.

Results now available - 1 July
Results and pass lists are now available to students online. To access this information, students should log into the Portal and to to the 'Student Services & Admin' tab. This is the first year that paper copies will not be posted in the Student Services Centre.
Progression exercise 2011 - 16 June
The progression exercise is the process which controls and manages a returning undergraduate student's ability to register online. The exercise is undertaken by parent schools for all continuing taught undergraduate students. Guidance on how to use the progression tool is available on the ISS website. For those staff who have not undertaken the progression tool computer based training (CBT), please email the SIMS training team at sims-training@leeds.ac.uk who will provide further information.
Progression is now open for staff using the Progression Tool – SWAPRGT; or from Monday 13 June 2011, for those using the existing Banner form SWUASTD. Progression will be available until Friday 15 July 2011.
Graduation registration – July 2011 Degree Ceremonies - 8 June
Final Year students please note that registration for graduation will close on Wednesday 22nd June 2011. If you haven’t already registered go to www.leeds.ac.uk/ceremonies for all ceremony information and details of how to access the online graduation registration system.
Do you enter exam marks - 10 May
If you are required to enter exam marks, you must have attended Departmental Exams training and be attached to the relevant modules in Banner. The next training sessions are scheduled for Friday May 13th and Tuesday May 24th; places are still available and can be booked by following this link:

In order to be attached to modules in Banner, you must fill out the ‘Access to Web for Faculty & Departmental Exam Marks’ form, which you can download by following this link:

This form can then be given to a Faculty Assignment trained member of staff, in your School / Department, who will be able to attach you to the relevant modules in Banner. Alternatively, you can send the form to Martin Jones (SIMS Team, 10.22 - IT Services) who will be able to attach you. Note that Martin can also carry out bulk attachments, should you need to be attached to all modules within your School / Department.
To check which modules you are assigned to in Banner, you can run the SWRDMAI report.
Grading modes:
To ensure that accurate calculations are made using the exam marks you enter (especially if you are using the classification tool), the correct grading mode needs to be recorded against each individual module. Therefore, could you please ensure that grading modes are up to date for your School and let studentrecords@adm.leeds.ac.uk know if these need to be updated on Banner.

Admissions - 5 January
With effect from 1 January 2011, management responsibility for Taught Student Admissions policy and operations is transferring to Student Administration within the Student Services Centre. The Admissions team will continue to be located at 17 Blenheim Terrace and contact names and numbers remain the same.
Lisa Summers will take responsibility for Taught Student Admissions, with Graham Rees as Undergraduate Admissions Officer and Simon Maller as Head of Taught Postgraduate Admissions working with Lisa.
Taught Student Administration (Operations, Examinations and Events) will now be managed by Gillian Healy.

SSC service during severe weather - 2 December
Services at the Student Services Centre may be limited over the next few days due to staff shortages in the current weather conditions and opening hours may be affected. All staff are making their best efforts to get to the University, with many who cannot make it into their offices working from home.
Our advice at the moment is to use email wherever possible as staff will be picking up emails throughout the day.
Development to classification pass lists - 23 November
From this month the exam Pass Lists will no longer be printed out and displayed in the Students Services Centre. Instead students will be able to view the Classification Pass Lists via the Portal. This provides a much better service to students, who will no longer be required to physically come to the Students Services Centre to check their classification.
Once the student logs onto the Portal they need to follow the link to 'Student Services and Admin'. On the left hand side of the screen will be a button labelled 'View 2010 Pass Lists' which will take them straight to the Pass List for their programme of study.
Staff can also view Pass Lists for their students by following the same steps as described above. The only difference is that the button 'View 2010 Pass Lists' will take you to another screen with a drop down menu to select the School and the programme of study.
The next set of Pass Lists is due to be published online on the 24 November 2010.
Application to Resit Carried Modules - 18 October
Students eligible to resit carried modules in session 2010/11 can now apply to do so using the 'Application to Resit Carried Modules' web page:
- Click on the 'Log me into Student Services' button
- Click on the tab labelled 'Examinations'
- Click on the link 'Application to Resit Carried Modules in 2010/2011'
- Select '2010/2011 Academic Year' from the drop-down menu
- Follow the onscreen instructions
The deadline for applying for Carried Module Resits is 22 October 2010 (applications received after this date will incur an increased administration fee).
Viewing module grades - 10 September
The provision to view Module Grades online (via the Portal) is temporarily unavailable. Results from the August 2010 re-assessment period will be published on Student Services from midday on Wed 15 September and the full module grades service will be resumed on Thur 16 September. If you require a printed breakdown of your results, you can purchase an official transcript from the Student Services Counter (www.leeds.ac.uk/studentservicescentre/counterservices/transcript.htm).

Mobile Phone Detectors - 1 August
The Exams and Progress Section of Taught Student Administration introduced mobile phone detectors in the recent May/June 2010 examinations session with
significant success.
A mobile phone detector is a gadget which works by detecting bursts of radio waves which are emitted by mobile phones. Some detectors, like the ones in use at this University, have sensitivity tuners used to adjust the detector’s sensitivity and detection distance according to the needs of the user. This handy technology puts a stop to mobile phones going off in a venue and breaking students’ concentration.
Further, invigilators are now alerted to specific areas within any given venue where they can be sure a mobile phone is being concealed and be more vigilant as a result which in turn increases the chances of malpractice being discovered and quashed. With technological advances in this day and age allowing for a stark development in the cheat’s arsenal, there is a growing need for universities to keep up in order to minimise the risk of exams malpractice. In the recent past, students have attempted to make use of technologies such as Bluetooth headpieces and texting facilities in order to attempt to cheat. The use of mobile phone detectors serves to deter such practices due to the heightened risk of getting caught.
The detectors were put to use outside, as well as inside, examination venues. Marshals and Examinations Officers switched the gadgets on and moved around crowds of students waiting to enter venues and rooms. When a mobile phone was detected, the device alerted the user through its blinking red light and, by emitting a sound.When it detected any radio waves, the sensitivity of the gadget was then reduced gradually in order to approach the signal source more accurately.
The response from students was startling with invigilators reporting a sharp increase in the number of mobile phones switched off and placed at the front of the room. Moreover, the detectors promoted discussion with students, whose reactions ranged from amusement to being impressed that their University was using the latest gadget!
Module event: registration 2010 - 10 August
After the Module Fair in 2009 many schools and departments said that it was a waste of their time being there due to the low student numbers that were attending the module fair. A lot of staff also stated that it should be reduced to 1 day.
With this in mind I have reduced the event this year to 1 day - Wednesday 22 September. The event has also been moved to the Parkinson Building instead of the Great Hall. A room will be allocated to the event yet until we know how many schools and departments will want to attend.
A wireless network will be available. There is a section to complete on the form if you will be making use of this.

Timetable switch over - 6 May

Module and programme catalogue deadline - 23 February
The deadline for new and amended module and programme proposals is Wednesday 31st March. Publication of the 2010/11 catalogue is due on Tuesday 4th May 2010.
As you know last session a decision was taken to replace the transferable skills tick boxes (IPA) with 'Leeds for Life' skills and these are to be listed on the 'skills' tab of the module catalogue. The skills information is ‘pulled through’ to the student dashboard of the Leeds for Life website – so individual students can see the types of skills that are being developed on particular modules.

In order for the University to submit an accurate HESA return we need the JACS code field to be completed on the title tab of the module catalogue. Similarly, the HESA tab must be completed in the programme catalogue. By double clicking on the relevant field you will be presented with a list from which you should select the most appropriate code relating to the content of the module/programme. Where possible Schools should select the most detailed coding available. So for example, a general Biology programme would continue to be coded as C100, but a specific module in Biodiversity would be coded C181. Certificate of acceptance for study - 16 February
Recent changes to UK Immigration policy with the Points Based Visa system mean that after 21 February General Student Visa Letters have now been replaced by a Certificate of Acceptance for Study (CAS) for applicants and also students requiring a visa extension. This means we are no longer able to offer a same day turn around in providing a supporting letter for applications to extend a Visa. The SSC will now need to electronically obtain the CAS number from UK Border Agency. This process will take up to five working days to complete and the CAS number will be emailed to the student.

Student Records, Registration, Module Enrolment and Graduation

University attendance monitoring system live - 21 September
The University’s attendance monitoring system is now live. This system is available to all schools to support staff in recording taught students’ attendance; a system tailored to research students is planned for February 2010.
Attendance monitoring has been a mandatory requirement at the University of Leeds for many years and is widely recognised as playing an important part in supporting both student retention and academic performance. A review of current practice, last year, indicated that adherence to the University's policy on attendance monitoring was inconsistent and patchy across the faculties; a project was therefore established to address this. At the same time, it has been an opportunity to ensure that the University will be able to meet the legal requirements of the new government legislation relating to the Points Based System.

Workshops for school staff involved in Student Administration - 26 August 2009
Representatives from Student Administration will be delivering the following seminars for staff in schools responsible for student administration, both in general and in the specific areas as shown. The events will be useful for new staff or as a refresher for existing staff.
General Introduction to Student Administration in the Student Services Centre
Suitability: New staff in schools with a role in taught student administration or established staff where they have changed their role in taught student administration.

Suitability: This course is designed for those who wish to gain a greater understanding of student finances and the University's methods and policy for dealing with these. It will also be of value to those with a role in pastoral care.

Register for 2009/10 - 30 July 2009
Returning students and new postgraduate students can register for 2009/10 via the Student Services link in the Portal (under the Student Services and Admin tab) from 9.00am on Monday 3 August 2009.
Approved classifications pass lists - 22 June 2009
The approved classifications Pass Lists will be displayed in the East Core foyer of the Marjorie and Arnold Ziff building on the 2nd July 2009 (5pm). Please email examinationsconf@leeds.ac.uk with any enquiries.
Graduation Ceremonies July 2009 - 9 June 2009
Please note all finalist students need to check their Graduation status on the portal - All outstanding fees need to be paid before 19th June 2009 All change of name forms need to be submitted before the 19th June 2009.
Bank holiday opening hours - 20 May
Opening hours for Counter and Cash Services over the bank holiday are as follows:
- Fri 22 May - closing at 5pm
- Mon 25 May - closed
- Tue 26 May - open 9.30am-4.30pm
- from Wed, back to normal hours
Online Module Enrolment - 4 May
The module enrolment system opens to returning undergraduate students from 9am Monday 11th May until Friday 14 August 2009 (unless advised otherwise by your Parent School) to choose Optional modules. Elective modules will become available as well for selection at the end of Exams at 9am on Monday 8th June.

If you wish to make any changes to your module enrolment choices after 14th August or when your Parent School has closed you will have to go to the Module Fair or contact your Parent School for a change of module enrolment form.
To access the online module enrolment system:
- log on to the Portal http://portal.leeds.ac.uk using your ISS username and password
- go to the 'Student Services & Admin' tab;
- click the 'Log me into Student Services' button;
- click on the Modules/Timetable tab;
- select 'Module Enrolment' from the menu;
- choose 2009/10 academic year and click the ‘Submit' button.
The module enrolment system will be open to new undergraduate students from 2 September until 24 September 2009 (unless advised otherwise by your Parent School).
New postgraduate students will be advised by their Parent School if/when the module enrolment system is available to them.

Counter Easter opening hours
Over the Easter break, the Student Services Centre counter will close on Thursday 9 April as follows:
- Cash services counter will close at 12pm
- Main counter will close at 12.30pm

Student Counter now open - 21 January
The new Student Services Counter is now open. The Counter brings together various administrative services previously offered by separate counters across campus. The Cash Services counter alongside the main counter handles all monetary transactions for both students and University members of staff.
Our friendly staff will be able to help customers with enquiries ranging from replacement student ID cards and issuing of official documents such as Registration Confirmation Certificates to answering fees and accommodation queries. Additional staff are currently in place (for the first few weeks) to point our customers in the right direction and to help them with other general enquiries.
The counter is open daily from 9am-5pm, except on Wednesdays when it is open at 10am to allow time for staff training. For all enquiries, phone 0113 343 8877 or email ssc@leeds.ac.uk
Student Services on the Move - 17 December
The Student Financial and Taught Student Administration, and Cash Services Counters, currently located on level 10 EC Stoner Building, will soon be relocating to level 9 of the Marjorie and Arnold Ziff Building.
In order to assist with the move, the Counters will be closing on Thursday 18 December at 4pm and reopen with full service in the Marjorie and Arnold Ziff Building on Monday 22 December at 9am . The opening hours remain unchanged: 9am-5pm Monday to Friday except Wednesdays (10am-5pm). We look forward to providing an enhanced service to our customers in the new premises.

Transcript requests - 1 December 2008
Requests for transcripts are now dealt with by Counter Services.
Transcripts are a full academic record of a student's career and include marks from all years. However, marks are not available for taught postgraduates who graduated in or before July 1992 and these students should apply for a statement instead.
