The International Medieval Congress Registration can now be completed online!
Delegates can now use the Online Registration option via the University of Leeds Online Store which provides a fast and secure method of payment. The Online Store registration is for payment by credit/debit card only. A Non-Online Registration option is available but will incur a non-online fee of £15 to cover the additional costs of processing the registration. Please note that the Online Store registration is only available until 2 July 2012. After then only the non-online registration will be possible (subject to availability).

It will not be possible to process a registration for more than one person with the same log-in. This form must be printed and either posted or faxed to us including payment. We cannot accept scanned or emailed forms.
Please note that registering by post or fax will incur an additional £15 non-online fee to cover the costs of processing the registration which is included on the form.
We recommend that those planning to attend the Congress complete their registration promptly as on-site accommodation is limited. Please note that the registration deadline is 14 May 2012. Any registrations received after this deadline are accepted at the discretion of the Congress organisation and are subject to additional late fees. Registrations during the Congress are limited and not recommended.
Reduced fees are offered for students, unwaged, and retired scholars (proof of status is required), exhibitors, members of the IMS, and those attending for one day only. For proof of status we require a copy of a current student card, or official state documentation showing that you are retired or unwaged. Alternatively, if you are retired, you can send us a copy of your passport showing clearly your date of birth, or a letter from your former employer stating your date of retirement. All letters should be on official letterhead. Proofs can be posted or faxed to us using the IMC contact address below. Note: Emails cannot be accepted as proof of status.
All participants in the IMC, including speakers, chairs, respondents, attending organisers, and non-active participants, will be required to pay the appropriate Programming and Registration Fee. Non-participating friends and family members are not entitled to attend any sessions other than the session in which their friend/family member is speaking. They are, however, welcome to book and attend the Events and Excursions on offer.
Prices for the IMC 2012 are as follows: Registration Fee for Full Conference: £202.00 (standard), £112.50 (student/retired/unwaged), £114.50 (day rate); Accommodation in University Hall per night from £27.00 (single rooms only), accommodation in Weetwood Hotel per night £108.00 (single) or £116.00 (double/twin per room). Meals start at £5.00 for lunch and £9.00 for dinner. Events and Excursions are priced individually.
Method of Payment
Credit or Debit Card
The University of Leeds can only accept payments by Switch/Maestro, Visa, and MasterCard. Your payment will be processed in pounds sterling (£).
Please note that we cannot accept American Express cards, or Diners Club cards.
We cannot accept cheques in currencies other than pounds sterling (£), US dollars ($), and euros (€).
We accept payments in:
- Pound sterling (£) cheques (drawn on the London Clearing House)
- US dollar ($) checks (drawn on the New York Clearing House), and
- Euro (€) cheques.
Please ensure that you use the exchange rate provided on the registration form as this has been calculated to cover bank charges incurred by the IMC for non-sterling transactions.
Cheques should be made payable to:
'University of Leeds - IMCongress'.
The IMC administration cannot book meals or accommodation at Weetwood Hall or Oxley Flats for participants whose registration form is not accompanied by full payment.
Other forms of Payment
In exceptional circumstances payment by bank transfer may be accepted by prior arrangement with the IMC administration. Contact the IMC before sending in your form if you wish to pay by bank transfer.
Please note that we cannot accept Traveller's cheques or Postal Orders.
Online Store registrations are immediate and the confirmation of your booking will be sent to you as soon as you have completed your registration. An additional receipt can be sent on request.
The non-online registration process is time-consuming and issuing your registration receipt for non-online registrations may take up to five weeks. An additional copy of the registration receipt will be included in all registration packs at the IMC.
The IMC administration processes your registration in the following ways:
a) Conversion of data from Online Store.
b) Obtaining authorisation for credit card payments.
c) Processing the payment through the University's Finance Office.
a) Manually inputting and acknowledging the details on your registration form.
b) Obtaining authorisation for credit card payments or awaiting the clearance of cheques.
c) Processing the payment through the University's Finance Office.
Your receipt will be sent out once these stages have been successfully completed. Please check your receipt carefully. Participants whose registration is received after 25 June 2012 will receive a receipt at the IMC.
Cancellations received in writing before 10 June 2012 will secure a full refund, minus one half of the Programming and Registration Fee.
Cancellations received from 10 June to 23 June 2012 inclusive will secure a refund of 25% of the total amount paid, excluding the Programming and Registration Fee.
Refunds will not be made under any circumstances for cancellations received on or after 24 June 2012.
Please inform the IMC administration and the session organiser immediately if you are obliged to withdraw from the programme. This is in order to allow time for alternative arrangements to be made.
Until Friday 6 July, enquiries should be directed to the IMC staff at the University of Leeds. During the period 7-12 July all IMC staff can be contacted through the IMC registration desk at Bodington Hall. Please note, staff will be moving offices to the Congress site on 6 July and communication on that day will be limited.
