Medicine Work Based Selection Scheme privacy notice

Find out what data we collect, why we collect it and how long we keep it for the Medicine Work Based Selection Scheme.

To organise events and activities:  

We use your name, contact details, school, parent/carer contact details, gender and your emergency/next of kin name and telephone number so that we can organise the activities and support you to take part. We will keep your name, postcode and date of birth for up to three years so that we can see if you apply to university after the scheme. We will delete the rest of this data at the end of your Year 13.  

We also ask for sensitive data about any disability or health, religious and dietary requirements, known as special category data, so that we can support you to take part. We will regularly invite you to update these so that we have an accurate record of your needs. We delete all your disability and health, religious and dietary requirements when you finish the scheme. To check you are eligible to take part and monitor progress of the scheme:  

We will ask for specific data to check your eligibility for the scheme. We will also measure the impact of the scheme on different groups using this data, to help us to improve future activities. 

We may share your data with teams who run similar projects, so that they can cross-check who is already taking part and prioritise their places for those who do not have a place on one of our scheme already, you will be told if this is the case. 

When you fill in the Medicine Work Based Selection Scheme application form, we may ask for your:  

  • School  
  • Year Group  
  • Postcode  
  • Information to find out whether you meet our contextual admissions criteria 
  • Information about whether you are eligible for Free School Meals 
  • Academic information eg: GCSE grades and A-levels studied  
  • Gender
  • Ethnicity

We will keep your name, postcode and date of birth for up to three years. We will delete the rest of this data at the end of the scheme.  

Improving the scheme:  

We use your name, postcode and date of birth to monitor which of our activities you take part in and whether you apply to one of the courses at the University of Leeds. This helps us to understand the impact the scheme has on the choices you make and what we can do to improve it for future participants.    
If you successfully complete the scheme, we will share this data with our admissions service, so that they can give special consideration to your application should you apply to study either A100 or A101 at the University of Leeds.

We will keep this information for up to three years and then delete it.  

We work with the UCAS Outreach Evaluator to understand the impact of our Post-16 outreach programmes. We share limited personal data (name, date of birth, postcode) so UCAS can match participants to application records. UCAS uses this data only to produce anonymised, aggregate reports, and no individual is identifiable. All sharing is covered by formal agreements and not used for any other purpose. You can opt out at any time – email the Educational Engagement team at EducationalEngagement@leeds.ac.uk.

Staying in touch with us:  

If you give your consent, we will keep your contact details to stay in touch with you after the scheme, to send you information about other things that we think will support your studies and progress to higher education, such as further activities, opportunities or resources.  If this is the case, we’ll keep them for up to three years and you can unsubscribe at any time.  

Unsuccessful applicant data:   

If you do not gain a place or do not accept your place on the scheme, we will delete your data within 1 month of the start of the scheme.
