Plan, Prepare, Provide Project privacy notice

Find out what data we collect, why we collect it and how long we keep it for, when taking part in the Plan, Prepare, Provide project. 

To organise events and activities: 

We ask for your contact details, school details and any access or dietary requirements that you have. This is so that we can organise the Art Teacher Residential and support you to take part.   

We will keep your access and dietary data until the end of the Art Teacher Residential. 

We will keep your school and personal contact data (e.g. name, email) until after you have attended the Art Teacher Residential and add you to the Plan, Prepare, Provide network to keep you informed with the latest Plan, Prepare, Provide opportunities and resources. Participants will have the option to accept or decline being included in the network, with this information collected in our pre-event survey for the Art Teacher Residential.

Monitoring the impact of the project to improve what we offer: 

We ask for your school name and address, subjects taught, year groups taught and average number of students taught per week.   

We use this information to understand the impact the Plan, Prepare, Provide project is having, and to make improvements to it. This data is anonymised before use for statistical purposes, and it will no longer be able to be identified for deletion. Information is collected through our pre-event and post-event surveys.   

Promotion of the project and reporting to our funders:

We ask for your school name, subjects taught, year groups taught and average number of students taught per week. During Plan, Prepare, Provide activities we will take photos and videos of participants. Participants will have the option to accept or decline being included in these photos and videos, with this information collected in our media permission form. 

The photos, videos and information collected may be used in future promotional material for the project and to report to our funding partner the Paul Mellon Centre, with whom we have a data sharing agreement in place to protect your information.

We will keep your photo for up to five years on secure university systems, then delete it from our systems and no longer use it to produce new material. Please be aware if published already, photos/videos may still appear in print or online on third party platforms such as social media.
